Advanced booking options are available to users with a administrator or booking administrator role and allows these roles to:
- Book a court of behalf of another user & add a new user
- Choose the booking category - Booking, Coaching, Competition, Social, External, Open Day,Maintenance, Closed
- Give the booking a name, description and colour
- Select multiple courts under one booking
- Book with no session time limit
- Repeat the booking, specifying the frequency
All venue administrators will have advanced booking options but it may also be useful to a league captain who needs to make block bookings. A league captain should be given a booking administrator role but not a administrator role as this will give them administration rights to other areas of ClubSpark.
If you are a user with a administrator or booking administrator role, sign in before you click on your desired booking slot. This will ensure the correct booking overlay appears, as shown in the image below:
You can now decide the category of the booking, the length of the booking and who the booking is for.
Depending on which booking category you select, a sub category may appear, as shown in the image below:
If you select Coaching, the sub category options are:
- Adult, Junior, Mini, Individual, Disability, Holiday Camps, Other
If you select Competition, the sub category options are:
- Sanctioned Tournament, Event, League Fixture, Fun Tournament, Other
If you select Social, the sub category options are:
- Team Practice, Club Night, Other
If you select External, the sub category options are:
- LTA Event, LTA Coaching Qualification, Non-venue Event/Tournament
Typing a name in the contact field will bring up any potential matches who are already contacts or members. Alternatively you can book for yourself by click the 'Me' tab or add a new contact by click the '+Add new contact' tab. Clicking '+Add new contact' will bring up the below overlay:
Once you have filled in the new contacts details you can confirm the booking by clicking the 'Book now' button or access 'Advanced options'.
Clicking the 'Advanced options' link brings up the below booking page:
You can now fill in all the fields that you require to give the booking more detail. If the 'Category' you have selected is booking, the name in the 'Contact' field will appear on the booking sheet. For all the others categories, the text that is entered in the 'Name' field will appear on the booking sheet. For example, the 'Category' could be 'League fixture' and the 'Name' field could be Paul vs John.
Clicking the 'Add new contact' tab will add First name, Last name, Email address and Phone number fields to the page as well as a 'send email confirmation' check box, as shown in the image below:
Clicking the '+Select an existing contact' tab will remove these additional fields from the page.
You can select multiple courts under one booking in the advanced options which may come in useful when a coach needs the use of more than one court for their session.
Clicking the 'Repeat' check box will add End date, No end date and Frequency options to the page, as shown in the image below:
Selecting the 'Weekly' or 'Every 2 weeks' radio button will give you the option to choose which day the booking is repeated on. It doesn't have to be the same as the initial booking.
The 'Monthly' radio button will repeat the booking on the same day not date every month. E.g. If you make the initial booking on the 4th Wednesday of the month, the booking will be repeated on the 4th Wednesday every month.
Once you are happy with all the details of the booking click the 'Submit' button to confirm. You will then be taken to the booking confirmation page, which will give details of the booking, as shown in the image below:
You can now decide to 'Edit' the booking or 'Book another court' to be taken to the booking sheet.
Your booking will now be display in the booking sheet, as shown in the image below:
