Within the basic settings you can set your booking sheet access, court opening hours, enable online payments and also create various booking rules for your players/members/administrators or anyone assigned a role.
Step 1: To manage your basic settings, go to the Booking module on the left of your screen within the Admin area, select 'Settings' in the top right of your screen:
Step 2: Select 'Manage basic settings':
Step 3: First you can choose your privacy settings.
Below are various rules you can apply to your booking sheet:
You can start by selecting who can view your booking sheet. The options are below:
- Anyone: This is any member of the public who is viewing your website will be able to view your booking sheet.
- Logged in users: To view your booking sheet, users must have a registered account with your venue.
- Members or anyone assigned a role at your venue: Only users with an active membership or a role assigned to them will be able to view the booking sheet.
- Booking administrators only: This would only be available to users with the booking administrator role assigned to them.
Next you can select who can view names against bookings on the booking sheet, see options below:
- Members or anyone assigned a role at the venue
-
Booking administrators only
Step 4:
To choose an opening or closing time, please click on the drop down menu and select the time that applies to your venue under the timings section.
New day booking availability time allows you to set a time for when you open your booking schedule to allow your players to book a court
You can choose your booking slot duration these are the options available: 15 mins, 30 mins, 40 mins, 45 mins, 60 mins, 90 mins or 120 mins depending on your requirements. To pick your booking slot duration click on the drop-down menu and select the time that applies to your venue.
Step 5:
If you would like to take group bookings, you can do so by turning this on within your basic settings. More information can be found here.
Group bookings are a great feature to enable your members to list who is playing with them. If your venue allows them to bring a guest you can also add guest fees.
After enabling this feature you will then see your schedules rule-set change. Within your rule-set, there are now additional fields where you can enter the cost.
Step 6:
If you do wish to accept online payments then you will need to enable this in the payment section, you will also need to enter how many hours before the booking takes place when refunds will no longer be given automatically for cancelled bookings.
If you do enable online payments then you will need to set up your account with Stripe, this is straight forward if you select the blue banner and follow the instructions. This will be located on the landing page in the Booking module.
Step 7:
You can then set booking rules. Booking rules allow you to decide the following:
- Advance booking period (days): Number of days in advance a user can make a booking;
- Max bookings during period: Maximum number of bookings they can make during a period;
- Max bookings period (days): Maximum number of bookings users can make in the specified time frame. The system will check X days before and after, the date the user is trying to making a booking for. Eg. maximum bookings during a period are 5 and the maximum bookings period in days is 7, this would mean a user is restricted to 5 bookings in an 14 day period as it checks 7 days before and 7 days after the date.
- Max booking slots per booking: If the booking interval is set to 30 minutes and the max booking slot is 3, the maximum length of a single booking will be 1 hour and 30 minutes (3 x 30 minutes);
- Minimum booking slots per court booking: This is useful if you want people to book a minimum. (i.e. if you want people to book no less than an hour, then put 2 - so 2 x30=60 minutes)
You can give a different set of rules to members and non-members and also for anyone with a role assigned to them such as a coach.
