How to Refund a Participant on a Camp

If you need to refund a participant, you can do so by following these steps. Administrator can cancel an individual session and/or their entire booking. 

Please note: Refunds will only apply to players who meet these requirements:

• Those players that have paid online only
• Those players who have not been refunded before (No in the 'Refunded' column)
• Those players that do not have a star by the ‘No’ in the Refunded list (59 days has passed)

Canceling Individual Camp Sessions for Players

If a players signs up for one week of camp, you can cancel and refund/apply credit for individual sessions from that week.  

• Navigate to your 'Coaching/Programming' module in the admin area of your venue
• Click Camps from the menu on the left side.
• Select the camp from your list of camps where you would like to cancel sessions.
• Click into the player and click the Sessions tab.

• Click the three dots next the Session and click Remove Session
  
  

• Choose how you would like to reimburse.
  • Refund- the whole amount will be refunded if the player paid online.
  • Credit-   
    • Input the credit amount
    • Enter the Expiry date
    • Input a message to be sent to the player
    • Select the reason

It will then appear as part cancelled and part refunded for that session. 

NOTE: The early drop off and pick up will not be refunded. This will come in phase 2. 

Refunding/Applying Credit for an Entire Camp Booking

If coaches need to refund or credit a player for the entire camp program booking, ie the full week, follow the steps outlined here:

Follow the same steps as before. Select the player in the camp. Then in the Players tab - select the 3 dots and click remove.

Then the player status is mark canceled and to refund, you need to click refund: 

and this will then automatically refund the player. 

Please note: If you have taken offline payments  (Cash, BACS, Cheque) or need to make a partial refund then you will need to issue these refunds offline.
