When you are accepting payments online via Stripe, these payments will not automatically appear in your bank account.
The customer makes a payment online which is processed via Stripe, the funds are then deposited into your bank account based on the payout frequency selected when setting up your Stripe account. You can edit the payout schedule from within the dashboard.
The funds deposited into your bank account are net of fees.

Stripe Dashboard
Stripe has a very simple and easy to use Dashboard, this allows the account owner to view and manage your balances. You can also initiate refunds, review possibly fraudulent charges and manage disputes.
When you have logged into your Stripe account, you will see your home page. This page gives you a useful overview of the activity on your account.
There are real-time charts which provide insight into the performance of your business, which you can apply a date range to look at a specific period.
If you select the Payments option from the left main menu, this will list all payments that have been processed through your Stripe account.
You then have the option to view the payments as follows:
- Succeeded - payments that have been successfully processed;
- Refunded - any refunds that have been triggered directly from ClubSpark such as court booking cancellations and also refund that you have processed from your Stripe dashboard;
- Uncaptured - these are transactions where there has been an unforeseen issue at checkout, you can ignore these payments (or cancel them). Your customers are not charged. To read more about uncaptured payments please refer to Stripe - https://stripe.com/docs/radar/reviews/auth-and-capture
Stripe Reports
Stripe has a number of reports that are great and simple to use. The payouts received into your bank account are net of fees, these reports are really helpful to assist reconciling your payouts.
From the main menu on the left of your screen select Reports. Within this section you have the following reporting options:
- Balance Summary - shows the starting balance in your Stripe account, plus changes to your balance resulting from activity (payments, refunds, transfers), fewer fees deducted and payouts made to your bank account.
- Balance Change From Activity - this report details the changes to your Stripe balance from activity (payments, refunds, transfers etc).
- Payouts - provide a detailed breakdown of the payouts made from your Stripe account which you can use to reconcile to the amounts deposited into your bank account.
- Payments - Provide a detailed breakdown of the payments made into your Stripe account. The export will have more information that what you can see in the dashboard.
All of the above reports can be exported into an excel format which all give a wide range of information on the reports. When exporting the reports you can select what information you would like to include on your reports, such as transaction description, customer ID, date of transaction, the amount paid and fees deducted.
Click on Payments and View all Payments in the dashboard. The using the Export Button
Select the date range you want, you can use the default columns or select all. Click Export.
This will produce an excel file - CSV for you to view and use as needed.
Changing Your Bank Account Details
If you do want to amend the bank details, so the funds are deposited into a different bank account, then the administrator of the Stripe account would need to log in and update the information within the Stripe account settings. which you can access by clicking Settings in the navigation sidebar and then Bank accounts and scheduling. Click the Edit button next to the desired bank account to modify your banking information.
Changing The Stripe Account Linked To Your ClubSpark Account
If you would like to link your Clubspark account to another Stripe account, then the administrator of the Stripe account will need to send an email to our support team to confirm that they are happy for us to disconnect that account.
Change my Payout Schedule
Within Stripe dashboard you can edit your payout schedule. This is helpful if you have to make refunds, you will be unable to do this if your Stripe account does not have any funds to payout. Depending on your own business, you will know how often you need to refund. We recommend a payout schedule of 3 or 4 days. You can also set your payout to manual, so you are in control of this.
To do this head to dashboard. You can update your account details at any time in the payout settings of your Dashboard, which you can access by clicking Settings in the navigation sidebar and then Bank accounts and scheduling.
Adding funds to Stripe Account for Refunds
If you are trying to refund a payment and within ClubSpark it is saying that you have insufficiant funds, you can add funds to your Stripe Account directly to your Stripe balance using a wire or bank transfer.
Complete the following steps:
- Determine the amount you wish to add to your balance based on your negative balance.
- Go to the Balances page in the Dashboard. Click Add to balance.
- Initiate a transfer with your bank to the account information shown. Be sure to include the unique reference number if it is provided on this page.
- Depending on the currency, you will be provided instructions for local bank transfer or a wire transfer.
- After the funds have been sent from your bank, come back to the Balances page in the Dashboard. Click Add to balance.
- If the receipt is required on the page, upload a screenshot or image of proof the funds have been transferred from your bank account. This helps us settle your funds more quickly.
- Click `Confirm Transfer’

Adding a team member to your Stripe Account
This is helpful when you want other administrators of your venue/business to have access to the Stripe Dashboard.
To add a new team member:

Log into the Stripe dashboard and navigate to Business Settings.

Click Team.

Select+ New Member from the top right.

Add the email address(es) of the team member(s) to invite to the Stripe account.

Note: Only one user role can be selected at a time, so when adding multiple email addresses, make sure all team members listed should all have the same user role/permission. To assign different user roles to different team members, repeat the process to select the appropriate role for each one.

Select the role for the individual team member. Roles determine account permissions for the team member, and more information about each role’s permissions can be found here.

Click Invite to send the invitation email.
If the team member does not have a Stripe login yet, they will be invited to create one and then can access the account. If they have an existing account, they will be prompted to log into Stripe and can then switch between accounts.
